KUHN Group Recruitment Privacy Policy

The KUHN Group (hereafter, « KUHN » or « we ») considers the protection of privacy and the freedom of individuals to be a matter of great importance, and undertakes to ensure their protection in accordance with applicable laws and in particular the European regulation n°2016/679 of 27 April 2016 (hereafter the « Regulation »).

This Recruitment Privacy Policy (hereafter the « Policy ») clearly informs candidates (hereafter « you » or « your ») of the principles by which we collect, use, share, retain and protect your personal data during the recruitment process.

The notion of « personal data » designates any information by which you can be identified, directly or indirectly, such as your surname and first name, your postal or electronic address, your phone number or your curriculum vitae. 

The notion of « processing » designates any data-related operation such as collecting it, saving it, using it and retaining it.

I. Scope of application

The Policy applies to the processing of personal data by KUHN when carrying out recruitment activities including: 

  • Spontaneous applications by post, e-mail or our internet site (hereafter « Internet Site »); 
  • Applications to job offers published on our Internet Site;
  • Our internal recruitment process that may include a behavioural assessment via the Predictive Index tool for some positions. 

 

II. Purposes of Processing 

We process your personal data during our candidate selection and recruitment processes. When processing we analyse your curriculum vitae and letter which may have been sent by post, e-mail or through our Internet Site, as well as the results of the Predictive Index assessment.


III. Processing Methods

As explained above, your personal data is processed during our recruitment operations. We may collect the data from your curriculum vitae and cover letter when you send a spontaneous application or when you respond to a job offer on our Internet Site.

Personal data likely to be collected from your job application on our Internet Site is: 

  • Surname;
  • First name;
  • Second name;
  • Date of birth; 
  • Postal address;
  • Telephone number;
  • E-mail address; 
  • Curriculum vitae;
  • Cover letter.

As indicated on the data collection forms, mandatory information is marked with a « * ».

Other information may be asked of you as you go further along the recruitment process, such as your qualifications, exam grades, driving license, permits, etc.

For some positions, the recruitment process may include a behavioural assessment via the Predictive Index tool (hereafter the « Tool »). This assessment helps us to analyse your profile and assess whether it is likely to correspond to the position that you are applying for. It especially provides information on your motivation and the way you behave in a working environment. The results of the assessment are in no way the only criteria taken into account in our decision; they are just an additional element to your application.

Personal data likely to be collected from the Tool is: 

  • Surname;
  • First name;
  • E-mail address.

You will receive an invitation by e-mail before beginning the assessment, in order to:

  • Inform you of the processing methods;
  • Get your consent to process your data;
  • Remind you that you can contest the decision taken following the assessment.

Your personal data collected during the recruitment process is destined for our internal services such as Human Resources, managers and relevant departments. Data entered into the Tool may be consulted by the Human Resources department, managers trained to use the Tool and the company Predictive Index.

Unless otherwise specified by you, your data will be retained for a duration of one (1) year from the date it was made available. 
The data entered into the Tool will be processed according to the Privacy Policy of The Predictive Index.

 

IV. Data transferred outside the European Union

We would like to inform you that the data entered into the Tool may be transferred outside the European Union, as the Tool is hosted in the United States. 

In accordance with applicable law, the company The Predictive Index transfers data using « Privacy Shield » as a reference to ensure an appropriate and sufficient level of data protection. « Privacy Shield » is a self-certifying mechanism recognised by the European Commission that enables organisations based in the United States to certify that they guarantee an adequate level of protection for personal data transferred by a local organisation based in the European Union.

V. Security measures

We consider it a priority to safeguard the confidentiality, integrity, availability and security of your personal data. Consequently, we implement the appropriate technical, logical and organisational measures to guarantee the most adapted level of protection against any risks involved in processing your data. We also use methods to prevent, as far as possible, any loss, accidental destruction, alteration or non-authorised access to your personal data.

 

VI. Exercising your rights

In accordance with applicable legislation, you have the right: 

  • To access and rectify your personal data (right of access and modification); 
  • To withdraw your consent to the processing of your data by the Tool (consent withdrawal);
  • To object to the processing of your personal data for legitimate reasons (opposition right);
  • To request that the processing of your data be limited or deleted within the limits set forth by legislation (restriction and erasure rights);
  • To receive your data in a structured format, commonly used and legible in order to send it to another data controller (the right to portability).

In order to check your identity and avoid sending your data to a third party (risk of identity theft), please attach a legible copy of your ID card/passport with your request, or any other document or information to enable us to verify your identity. We strive to respond to your request within a month of receiving it.

Lastly, we would like to inform you that it is within your rights to file a complaint with any relevant supervisory authority.
